Payroll number

A Payroll Number, also known as an Employee Number or Staff ID, is a unique identifier assigned to each employee by an organisation’s payroll department. It is typically used to track and manage employee data, including their pay details, tax information, and benefits.

In the UK, a Payroll Number is usually a sequential number that is allocated to each new employee as they join the company, and it remains with them throughout their employment, even if they change roles or departments within the organisation. This number is often used in conjunction with other identifiers, such as National Insurance numbers (NINOs) or tax codes, to ensure accurate and efficient payroll processing.

Payroll Numbers are usually stored on an organisation’s payroll system, along with other employee data, and are used for a range of purposes, including:

  • Payroll processing and payment
  • Pension and benefits administration
  • Tax and NI deductions
  • Holiday and absence management
  • Performance and attendance monitoring

In the UK, Payroll Numbers are often required by HMRC (Her Majesty’s Revenue and Customs) as part of an organisation’s payroll reporting obligations. They may also be used to identify employees for other purposes, such as health and safety or equal opportunities monitoring.

It is worth noting that Payroll Numbers should not be confused with Employee IDs, which are often used in conjunction with a company’s HR system to track employee data and performance. While both numbers serve similar purposes, they are distinct identifiers that serve different functions within an organisation.

AceRota’s automated rostering feature ensures accurate payroll numbers by automatically calculating hours worked, including overtime, and generating a detailed breakdown for payroll purposes. This minimises errors and saves time in processing payroll.
