Payroll report

A payroll report, also known as an earnings statement or pay slip, is a detailed document that outlines an employee’s remuneration for a specific period, typically a week, fortnight, month, or quarter. It provides a comprehensive breakdown of the employee’s gross and net pay, deductions, and other relevant information.

In the UK, a payroll report usually includes:

  • Employee details: Name, National Insurance number, job title, and department.
  • Pay period: The dates covered by the report, such as 1st to 31st March.
  • Gross pay: The total amount of money earned before deductions.
  • Deductions: Details of any deductions made from gross pay, including income tax, National Insurance contributions (NICs), student loan repayments, and pension contributions.
  • Net pay: The take-home pay after all deductions have been made.
  • Holiday pay: Any accrued holiday pay or leave entitlement.
  • Sick pay: Any accrued sick pay or absence entitlement.
  • Other benefits: Details of any additional benefits provided by the employer, such as company cars, bonuses, or expenses allowances.

Payroll reports are typically generated on a regular basis, usually in line with the employee’s pay cycle, and are used to inform employees of their earnings and deductions. They may also be used for administrative purposes, such as reconciliations, audits, and compliance with HMRC regulations.

In addition to individual payroll reports, employers may also generate aggregate reports that provide an overview of payroll data across the organisation, including:

  • Total payroll costs
  • Average weekly or monthly pay
  • Employee headcount
  • Absence rates
  • Holiday entitlement
